GHL Setup Guide

GoHighLevel Setup Guide for Real Estate Wholesalers (2026)

By Nazmul Amin Ashiq June 8, 2026 20 min read 500+ deals closed using these exact configurations

GoHighLevel is the most capable CRM platform available to real estate wholesalers — but the gap between "GHL installed" and "GHL working for acquisitions" is enormous. Most operators spend weeks building workflows that still miss the automations that actually close deals.

This guide covers the exact pipeline setup, workflow triggers, lead scoring logic, and automation stack I built across 500+ closed deals as a virtual acquisition manager. Everything here is production-tested, not theoretical.

Who this is for: Real estate wholesalers, land flippers, and fix-and-flip operators who have GHL (or are considering it) and want to configure it the way someone who has actually worked 500+ acquisitions would set it up.

Why GHL Out of the Box Doesn't Work for REI

GoHighLevel is a marketing and CRM platform built for agencies. When you open a fresh GHL account, you get: a blank CRM, generic pipeline stages, an email builder, and a workflow editor. None of it is configured for motivated seller acquisitions.

The problems a generic GHL setup creates for wholesalers:

Every one of these problems is solvable inside GHL — but only if you know what to build. Here's the full configuration.

Step 1: Pipeline Stages

The first thing to fix is your pipeline. Delete the default stages and build these:

StageDefinitionAuto-Trigger on Entry
New LeadJust entered, no contact attempted yet. Scoring in progress.Immediate SMS + call attempt in 60 seconds
Attempting ContactOutreach started, no live conversation yet.Enroll in 5-day call cadence
ConnectedHad first live conversation. Gathering basic info.Pause automated calls, schedule human follow-up
QualifiedConfirmed: has equity, motivated, willing to sell.Trigger deal analyzer, notify acquisition lead
Offer PendingMAO calculated, verbal or written offer made.Schedule 24-hr follow-up if no response
Under ContractPurchase agreement signed.Notify buyer list, start disposition workflow
ClosedDeal funded and closed.Add to closed deals report, send thank-you
DeadNo equity, not motivated, or exhausted cadence.Add to 6-month re-activation list
Critical: "Dead" should never be permanent. A seller who wasn't ready in January is often ready in July after a life change. Build a separate re-activation pipeline that pulls "Dead" contacts back into outreach every 6 months automatically.

Step 2: The First-Contact Workflow (60-Second Rule)

This is the most important workflow in your entire CRM. 78% of deals go to the first investor who makes contact. Your first-contact workflow must trigger the moment a new lead enters GHL — not when your team wakes up.

Workflow: New Lead Intake

  1. Trigger: Contact created (or tag "new-lead" applied)
  2. Wait: 0 seconds
  3. Action: Send SMS — "Hi [First Name], this is the RemoteForce team. I saw you may be interested in selling your property at [Address]. When is a good time to chat? — [Your Name]"
  4. Wait: 2 minutes
  5. Action: Trigger outbound call attempt via GHL Dialer or AI call agent
  6. If no answer: Move to "Attempting Contact" stage, enroll in 5-day cadence
  7. If answered: Move to "Connected" stage, pause automated sequence
Integration tip: If you connect an AI call agent (like a configured Bland.ai or Retell integration) to this workflow, the 2-minute call attempt can be fully automated — the AI qualifies the lead and routes live calls to you only when the seller wants to talk. This is what the RemoteForce Elite Build configures end-to-end.

Step 3: The Follow-Up Cadence That Closes Deals

Most wholesalers build a 5-day sequence and call it done. The problem: motivated sellers who aren't ready to sell in week 1 need to hear from you in week 4, month 2, and month 6. The best deals often come from leads that were "cold" for 3-6 months before the seller's circumstances changed.

The Full Cadence (build as a GHL Workflow)

Build this as nested workflows in GHL using Wait steps and If/Else branches. The critical branch: if the contact replies (SMS or email), the sequence must immediately pause and alert your team. Continuing automated outreach after a seller has responded is the fastest way to lose a deal.

Step 4: Building Lead Scoring in GHL

GHL doesn't have native lead scoring, but you can build it with custom fields and workflow logic.

Setup:

  1. Create a custom contact field: Lead Score (Numeric, default 0)
  2. Create a custom contact field: Lead Tier (Dropdown: Hot / Warm / Cold)
  3. Build scoring workflows that increment the Lead Score field based on trigger events

Score Triggers (build as separate mini-workflows):

Tier Assignment Workflow:

Run this as a daily trigger on all contacts in Attempting Contact stage:

Your team should only manually call Hot leads daily. Warm and Cold leads are handled by the automated cadence until they score up.

Step 5: The Deal Analyzer Integration

When a lead moves to "Qualified" stage, your team needs ARV, estimated repairs, and MAO immediately — not 45 minutes later. The fastest setup is a GHL workflow that triggers a notification with a link to a simple deal analyzer (spreadsheet or web form) pre-populated with the property address from the contact record.

For a fully automated approach, the Elite Build integrates a deal analyzer that pulls public records data (square footage, year built, recent comps from PropStream or ATTOM) and calculates MAO automatically when a lead is marked Qualified — delivering the result back to the contact record as a note within 90 seconds.

Step 6: Buyer Matching on New Contracts

When a deal goes Under Contract, you need to notify your buyer list within minutes. Build a workflow triggered by "Stage = Under Contract" that:

  1. Creates a deal record in GHL with property details
  2. Filters your buyer list by property type, price range, and zip code
  3. Sends a blast SMS + email to matched buyers: "New deal in [City]: 3/2 at [Address], asking $[Price]. ARV $[ARV]. Reply YES for details."

This converts your buyer list from a spreadsheet into an active matching engine — every deal gets in front of the right buyers within 5 minutes of going under contract.

The Configuration Gap

Everything above is possible in GHL without any third-party plugins. But building it correctly — with the right workflow logic, proper branch conditions, and REI-specific scripts — takes someone who has actually run acquisitions, not just someone who knows how to click through GHL's workflow editor.

The most common configuration mistakes I see when auditing operators' GHL setups:
